What should a home health aide timesheet include?
A home health aide timesheet should show each visit's time in and time out, any unpaid break, and the drive time between clients on the same day, then a weekly total you can hold against your pay statement. Most free caregiver timesheets online stop at visit times, so the drive in between quietly disappears.
The drive between clients is part of the workday. Write it down like a visit.

Caregiver timesheet questions
Is drive time between clients counted as hours worked?
Under the federal rule for travel during the workday, 29 CFR 785.38 says travel "from job site to job site during the workday, must be counted as hours worked." Your commute from home to the first client and from the last client home is usually not. State rules and your agency's policy can add to this, so ask your agency how it records travel.
Do home care agencies have to pay overtime?
Since the U.S. Department of Labor's 2013 home care rule took effect on January 1, 2015, third-party employers such as agencies cannot claim the companionship or live-in exemptions. A July 2025 proposal would change that for companionship services; when we checked on November 3, 2026, it was still a proposal, not a final rule.
My agency already uses EVV. Why keep my own timesheet?
EVV is the agency's and the state's record. Under the 21st Century Cures Act, it verifies six things, including the date and the time a service begins and ends (CMS bulletin, 2018). Drive time between clients is not one of the six. A personal record helps you spot a missed clock-in or unrecorded travel before payday instead of after.
What should go on a caregiver timesheet?
Date, client or visit, time in, time out, unpaid break, drive time from the previous visit, and a note column. At the bottom: weekly totals for your agency's workweek and the figures from your pay statement, so you can compare them.
Can I use this timesheet for a private client I work for directly?
Yes, as a record of your hours. Overtime rules for workers hired directly by a family can differ from agency rules, so the printable does not assume either; it just adds the hours up.
Is the printable free?
Yes. It is a direct PDF download with no sign-up. Print as many as you need.

Honest limits of a personal timesheet
- It is your record, not the official one. Your agency's EVV and payroll records decide what you are paid. Yours tells you what to ask about.
- We do not know your state's rules. Some states add travel, split-shift or overtime rules on top of federal law. The sheet adds up hours; it does not decide what is owed.
- EarnCheck has no drive-time field. A shift in EarnCheck has a start, an end and an unpaid break. If your agency pays straight through from first visit to last, one shift per day works. If it pays visits and travel separately, the paper sheet shows the split better.
- Two agencies means Pro. EarnCheck's free plan covers one job and a complete first pay period. Multiple jobs kept separate, and unlimited pay periods, are part of EarnCheck Pro (monthly or annual).

Who this is not for
If your agency's app already shows travel time on every pay statement and the hours always match, you do not need a second record. If you are a live-in caregiver paid a daily rate, the hours rules work differently and this sheet will not reflect your agreement. And if you need someone to tell you whether you were underpaid, talk to your agency's payroll team or your state labor department; neither this sheet nor EarnCheck gives legal advice.
Pay
Worked example: one Tuesday, three clients
| Visit hours | 2 + 3 + 2 = 7.0 h |
|---|---|
| Drive between visits | 25 + 25 min = 0.83 h |
| Day total | 7.83 h |
| Statement shows | 7.0 h → ask about 50 minutes |
Fifty minutes a day across a five-day week is just over four hours. In a week that is already near 40 hours, those minutes can also change where overtime starts. That is arithmetic, not a verdict on your pay.
Small gaps add up: fifty minutes a day is a half shift a week.
Same week, kept in EarnCheck
One design decision we made: EarnCheck never counts a scheduled shift until you confirm it, and a difference is labeled "to review", never "underpaid". Here is what that looks like.
