What should a car detailing estimate include?
A car detailing estimate should list the vehicle and its size, its condition, an itemized service package, priced add-ons, what is not included, tax and deposit, how long the price is valid, and a place for the customer to say yes. The checklist above has all twelve lines; the rest of this page explains the ones detailers most often leave out.
An estimate is not just a price; it is a record of what the car looked like and what you agreed to do.
Car detailing estimate questions, answered
What should a car detailing estimate include?
At minimum: your business details, the customer, the vehicle and its size, condition notes, an itemized package, add-ons, exclusions, time on site, tax and deposit lines, a valid-until date and a place to accept. Our 12-line checklist above covers each one.
Should I price detailing by vehicle size?
Most detailers do, because size changes how long the job takes. Put the size class on the estimate so the customer can see why a third-row SUV costs more than a sedan. ScopeBid supports per-unit and area line items with your own units if you price that way.
How do I handle pet hair or heavy stains on an estimate?
Note the condition and, if you charge for it, add it as its own line before you start. Photos taken at the estimate stage help avoid arguments later. Whether and how much you charge is your call.
Is an estimate the same as a quote?
People use the words loosely. Many detailers use estimate for an approximate price and quote for a fixed one. Whatever you call it, state whether the price can change and why, for example a condition surcharge.
Do I need the customer's signature on a detailing estimate?
It is not always required, but a signature or written yes protects both sides, especially for ceramic coatings and paint correction. ScopeBid supports in-person acceptance with an on-screen signature.
Is there a free car detailing estimate app?
ScopeBid's first 3 quotes are free with full PDFs, and anything you create stays viewable and exportable. ScopeBid Pro, billed monthly or annually, adds unlimited quoting, Business Memory, job costing and invoicing.
Can I make a detailing estimate with no signal?
Yes in ScopeBid: quoting, PDFs, invoices and records work with no internet, which helps in parking garages and rural driveways. There is no account and no cloud copy of your data.
Honest limits: what an estimate app will not do
We make ScopeBid, so here is what it does not do for a detailer:
It does not book appointments or send reminders. ScopeBid is for quoting and invoicing, not scheduling.
It does not take card payments. It records payments you receive by cash, cheque, e-transfer, bank transfer or a card terminal and tracks the balance; the money moves elsewhere.
It does not set your prices. It can suggest a price from your labor and materials, but there is no built-in detailing price list. You build your own.
It is not accounting software. You set your own tax rates and stay responsible for compliance.
How to send a detailing estimate from your phone in 3 steps
Start from a saved job or a blank quote. If you did a mid-size SUV interior last month, start from that job; ScopeBid's Business Memory shows the source job and date so you can adjust. Price first (what the customer pays) or cost first (labor and materials, with a suggested price).
Check the margin. Profit Guard shows customer price, direct cost, estimated gross profit and margin. Try a discount and see what it does before you offer it.
Share the PDF or get a signature on the spot. Clean PDF quotes carry your logo, terms and payment details. Your internal cost and margin are never printed on the customer's copy.
Quote from the last job like it, not from memory.

Tool result: the three lines detailers skip most
When we read the top-ranking free detailing estimate template for this question in November 2026, its fields were business, customer, vehicle, itemized services, add-ons, exclusions, taxes, validity, terms and a signature line. Three lines that matter for detailers specifically were thin or missing there:
Line
Why it matters
Condition notes and photos
Pet hair, sand and stains change the time a job takes. A note written before you start avoids "it was like that already" conversations.
Site needs
For mobile work, no water or no outlet can stop a job. Saying so on the estimate puts it on the customer's radar.
Time on site
A full detail can take most of a day. Saying how long the car will be busy lets the customer plan, and makes a longer job feel expected rather than slow.
One design decision we made: in ScopeBid, a change order is its own line with its own price and profit impact. If the customer adds an engine bay clean in the driveway, it lands on the invoice instead of being done for free.
Who ScopeBid is not for
Pick something else if you run a detailing shop with several bays and a front desk; a full shop-management system with scheduling will fit better. If you only ever offer three fixed packages with posted prices, a printed menu may be all you need. And if you are on Android, ScopeBid is iPhone only.
A Saturday driveway job, start to finish
An example, made up but typical. A mobile detailer gets a message about a family SUV: full interior, kids and a dog. On arrival, the third row is full of sand and there is dog hair woven into the carpet.
Instead of guessing, the detailer opens last month's SUV interior job in ScopeBid, adds a line for pet hair removal, notes the sand, and checks that the margin still holds after a small discount the customer asks about. The customer signs on the phone. Midway, the customer asks for the headlights too; that becomes a change order with its own price. At the end, the detailer enters the actual hours, and the next SUV quote starts from a more honest number.
